How to send a fax to multiple recipients using group speed dial?

  • Place the original document print side up on the automatic document feeder or print side down on the scanner glass.
  • Tap on Fax setup from the printer’s control panel display.
  • Touch Speed Dial option.
  • From the list of options available, click on Setup.
  • On the Printer Fax Setup menu do the following,
  • Choose Group Speed dial and follow the on screen instructions. Create a recipient group with your contacts.
  • Go to the Select Speed Dial screen, to select the recipient group you have created.
  • Choose Start Fax.


If you enable error correction mode, it will prevent loss of data because of poor phone lines or errors that occur due to a problem in transmission line.

How to change the ECM setting from the Printer Setup control panel?

  • Slide your fingers across the printer setup control panel screen and then choose Setup.

  • To change or set the Fax Header do the following,

  • Select Setup and then Fax Setup.
  • Choose Basic Fax Setup.

  • Specify your personal /company name and then click Done.

  • Ensure that you use 2-wire phone cord which came with the printer that is used to connect it to the phone line. If the phone wire is not long enough, get an extension cord to connect it. The extension cord will be available at a nearby electronic store.
  • Also, make sure that any other equipment that uses the same phone line is not in use. If the equipment is in use, then you won’t be able to fax any documents.

When the printer is having problems sending and receiving faxes

  • Switch on your printer setup. Check the display screen. If the Power button is not switched on, then the printer setup is switched off.
  • Ensure that a power cord is connected to the printer setup and plugged into an working wall socket. Now, switch on your printer by pressing the Power button.
  • If you want to send or receive faxes, wait for 5 minutes till your HP Officejet Pro printer setup gets ready.
  • Make sure that HP Digital Fax setup is not enabled. If it is not, then you may not be able to send or receive faxes if the memory is full.
  • Use the phone cord that came along with the printer. Connect one end of the cord to a port labeled as 1-LINE and connect the other end of the cord to the back of the printer.
  • If the phone cord that came with the printer setup is not long enough, the get a 1-wire phone cord from a nearby store to extend its length.
  • After connecting the printer setup and the phone cord, check for a dial tone. If you cannot hear a dial tone, then you will have to call your telephone service provider to get it fixed.
  • Make sure the other equipment that uses the same phone line is not in use. If it is, then you may not be able to use the printer setup.
  • Also, check if any other process has caused an error that is not letting you to do the job. Check the printer to see if it throws any error message. Follow the instructions to solve the problem and then carry on with the fax job.
  • Your phone line connection should not be noise. Those phone lines which have a poor connection may cause problems while faxing. If you hear a noise in the phone connection, then switch off the Error Correction Mode and then try faxing again.
  • Ensure that the DSL filter is properly connected to your printer setup, otherwise you won’t be able to fax successfully.
  • The printer setup you are connected to the wall socket that is not meant for digital phones. Listen to the dial tone to check if your phone is dialog or analog.
  • Do not use a phone splitter which may cause problems while sending and receiving faxes.

When the printer cannot receive faxes, but can send faxes

  • Make sure that you are not using distinctive ring service and set the Distinctive Ring is set to All Rings.
  • If you have set the Auto Answer setting to Off, then you need to receive the fax manually. You cannot receive the fax automatically.
  • If you have a voice mail setup, then you will have to receive the faxes manually and not automatically. In other words, a person must be there next to the printer machine to receive faxes.
  • The software that came with the computer dial up modem will not receive faxes automatically. Modems that are designed to receive the faxes automatically will answer the fax request over the phone line, will prevent the printer from receiving fax calls.
  • There is a possibility that your answering machine might not be properly setup with the computer.
  • The outgoing message may be log or loud enough to detect incoming fax tones.
  • Also, make sure that any other equipment that uses the same phone line is not in use. If the equipment is in use, then you won’t be able to fax any documents.
  • The problem with most fax machine is that they do not have quiet time to detect the fax tones.
  • Try connecting the answering machine directly to the printer when you use an answering machine on the same phone line.
  • If you are encountering problems while receiving faxes, then disconnect the answering machine and try receiving the fax.
  • Now, reconnect the answering machine and record the outgoing message once again. The message needs to be of 10 seconds in duration. Your message needs to be slow and at a low volume.
  • Set the Distinctive Ring pattern to All Rings.

When the printer setup cannot send faxes, but can receive them

  • Insert pauses in a number sequences so that your HP Officejet printer setup does not dial too fast or soon enough.
  • If you are not able to enter pauses, use the monitor to dial the faxes. This will help you listen to the phone line as you type the numbers.
  • If the recipient’s number is not entered in a proper format or if the receiving fax machine is having problems, then call a fax number from your telephone and listen for the fax tones. If you don’t hear a dial tone, then the receiver’s fax machine may not be switched on or connected.


Perform the following tasks if you are encountering problems while using Web Services such as HP ePrint and print apps.

  • The printer setup you use must be connected to the Internet using a wireless or an Ethernet connection.
  • The Web Services option on your printer setup should be enabled.
  • The network hub, router or the switch should be switched on and connected properly.
  • Use a working Internet connection if you are using a wireless setup.
  • If you are using an Ethernet connection, connect using a phone cord or a crossover cable to connect your printer setup to the network and that the Ethernet cable is connected properly to the printer setup.
  • While using HP ePrint, enter the printer’s email address properly.
  • Do not enter multiple email address in the To field.
  • The sending document must meet the requirement of HP.
  • If you are entering proxy settings, make sure you enter valid ID.
